This notice applies to people using the OK4UK Academy learning and assessment portal. OK4UK Academy is part of OK4UK Group. Organisational contact can be made through OK4UK.com.

Information processed

Why information is used

Information is used to provide controlled learning, administer accounts and enrolments, support assessment and quality assurance, issue or verify authorised achievements, maintain security and meet applicable contractual, regulatory and record-keeping requirements. The precise lawful basis for each processing activity must be confirmed in the Academys processing record.

Service providers and access

The portal uses Supabase for authentication and data services and Vercel for application hosting and delivery. Authorised Academy staff may access records according to their assigned role. Information is not presented as being sold or used for advertising. Any international processing and safeguards must be assessed against the providers current contractual arrangements.

Retention

Records should be retained only for as long as required for learning delivery, assessment, certification, audit, safeguarding, contractual and legal purposes. The exact periods must follow the Academys approved retention schedule; that schedule is not yet stated on this site.

Your rights

Depending on the processing and lawful basis, individuals may have rights of access, correction, erasure, restriction, objection and data portability, and may complain to the UK Information Commissioners Office. Some education, assessment or legal records may need to be retained even when deletion is requested.

Accuracy and changes

Users can review selected account details under My account. Roles, status, email and controlled learning records require authorised administration. This notice should be reviewed whenever the portals processing, providers or retention arrangements change.
